Proposal Coordinator

Exempt Status: Non-exempt Position Status: Part-time – Approximately 20 hours per week

Must haves:

  • Ability to manage multiple deadlines at once with efficiency and composure
  • Outstanding written and verbal communication skills

Would be nice to haves:

  • Working knowledge of Adobe Creative Suite (InDesign & Photoshop primarily)
  • Working knowledge of Deltek Vision a plus
  • Degree in marketing, graphic design, communications, or related area
  • Experience in the professional services industry in marketing, sales, or related area
  • Certified Professional Services Marketer (CPSM)

What You’ll Do:


  • Organize, write, and produce proposals using co-workers for input related to graphics, fees, cost data, design criteria, production techniques, strategy, etc
  • Maintain/update resume information on all staff members
  • Maintain/update information and descriptions of all projects
    Maintain/update branded master files/templates
  • Manage experience and project databases
  • Coordinate go/no go decision process (screen incoming rfps with input from marketing manager/other staff)
  • Manage deadline calendar and coordinate content from others to meet deadlines
  • Debrief submittals with clients and co-workers

Corporate Identity Management

  • Develop brochures and digital content and generally provide materials for use with outside marketing as directed by marketing manager
  • Edit written promotional material to maintain high quality of expression
  • Coordinate the company’s submissions for awards and design competitions
  • Assist with technical report writing/editing to maintain brand standards across the firm


  • Produce hardcopy and electronic (PowerPoint/Prezi/PDF) graphics used in marketing presentations
  • Critique presentations to extent required

Other duties

  • Participate in SMPS and other professional organizations as appropriate
  • Support administrative team with general admin activities including answering phones, company meetings, etc
  • Occasional hours in excess of 20 may be required
